USER GUIDE FOR COMPLETING THE

ARCHAEOLOGICAL SITE RECORD FORM

If a category is not applicable, please leave blank.
 

Permit Number Enter the archaeological permit number provided by the Provincial Archaeology Office. Example: 97.01
Borden Number Enter the Borden number assigned by the Provincial Archaeology Office. Remember that the first and third letters are upper case and the second and fourth letters are lower case. The letters are followed by a hyphen and then a number. Example: CkAl-02
Ethnographic Number Enter the Ethnographic number assigned by the Provincial Archaeology Office. Example: 14C/02 Ethno-01
Site Name Enter the name of the archaeological site assigned by the researcher. New sites are to be referred to by one name only. Revisited sites which are referred to by more than one name, enter the most common name first, followed by alternative names.
Upper Case Borden Enter the upper case letters contained in the Borden Number. Example: CA
Lower Case Borden Enter the lower case letters contained in the Borden Number. Example: kl
Borden Sequential Number Enter the Borden number. Example: CkAl-02
Previous Recording Errors Enter any known Previous Recording Errors.
Site Location

 

Enter information on geographical features at an archaeological site in order to make it possible for anyone to accurately plot the site on a 1:50,000 topographical map. Describe the site in a logical manner from general to specific, beginning with a fairly general area description. Example: The site is located between the Foxtrap Access Road and Butterpot Park, 1 kilometre north of the TCH, 150 metres west of Dog Pond on the south side of the stream that runs into Dog Pond.
Site Access Enter information in order to make it possible to readily relocate the site in the field. Enter locational information and method of travel required. Example: From Foxtrap Access Road, proceed 2 kilometres west on TCH. Turn right (north)off the TCH onto an unnamed road (4-wheel drive required), which is marked with 2 wooden posts with red flags, and proceed 4 kilometres to the west end of Dog Pond. Park truck and walk 150 metres west of the pond to a grassy flat on the south side of a stream; by boat from Nain; by helicopter from Nain.
Province "Newfoundland and Labrador" is always entered in this field.
Jurisdiction Check the appropriate jurisdiction box for which the site in under, Provincial or Federal.
Nearest Large Community Enter the name of the nearest large community to the site.
Major Drainage Enter the major drainage basin in which the site is situated. Do not use abbreviations for river, lake, or creek. Example: Placentia Bay; Labrador Sea.
Minor Drainage Enter the minor drainage basin in which the site is situated. Do not use abbreviations for river, lake, or creek. Example: Freshwater Pond; Voisey's Bay
Map Ref. NTS Enter the National Topographic System (NTS) map reference for the site location. If the site extends over two (2) maps separate the map numbers with a semicolon. Enter the NTS map numbers from the 1:50,000 maps. Example: 14F/03; 14F/07
UTM Military Grid Enter the grid zone as noted on 1:50,000 maps. Example: 12UUM; 21U
North American Datum Enter the North American Datum, either 1927 or 1983. 
Latitude Enter the latitude at which the site is located. There should always be a 2-digit entry for each of degree, minute, and second. If the information is uncertain enter "?" at the end of the location. Example: 49°50'50"; 49°00'00" ?
Longitude Enter the longitude at which the site is located. There should always be a 2-digit entry for each of degree and minute and second second. If the information is uncertain enter "?" at the end of the location. Example: 49°49'25"; 49°51'00" ?
Easting Enter the full 6-digit Easting UTM reference. Example: 501600E, NOT "016"
Northing Enter the full 7-digit Northing UTM reference. Example: 6485100N, NOT"851"
Elevation For land sites enter measurements in metres above sea level. Example: 41masl. For underwater sites enter measurements in metres below sea level.Example: 41 bsl
Air Photo References Record any air photos. Example: Crown Lands, 1967: 36-38
Other Map References Enter the number of any other map relevant to the site, the name of the map or issuing agency, and the scale. Example: GNL2, Department of Environment and Lands, 1:500,000
Site Description Enter a description of the site. Example: The only thing found at this site are flake scatters; 6 tent rings aligned in a circle with hearths and flake scatters around it.
Culture Enter a broad descriptive term for culture (s) associated with activity on the site. Enter most ancient to most recent. Example: Palaeoeskimo; European
Phase/Complex Enter a more specific descriptive term for culture (s) entered above that are associated with activity on the site. Enter most ancient to most recent.  Example: Dorset; English
Site Type Enter the type of site. Example: Habitation; Burial; Earthwork
Site Features Enter the type of features present at the site. Example: depression; tent ring; cobblestone floor
Site Period Dates Enter dates the site was occupied as determined by non-laboratory means such as tombstones, seriation, archive information, artifact typology. Enter dates in order from earliest to latest, specifying the Archaeological cultures. The terms A.D., B.C., or B.P. may be entered with appropriate dates. A range of relative dates may be entered in the form: 1820-1830 (archives); Mid 1500s; 1930s
Site Lab Dates Enter dates assigned to cultures found at the site as determined by various specific laboratory techniques. Enter each date, the error margin and the laboratory number. If a technique other than C-14 is used enter the source or authority for the date.) Enter dates in order from earliest to latest, specifying the Archaeological cultures. Example: 8000+/- 500, GSC 145 
Site Size Enter the maximum length and width of the site in metres. Example: 105 m x 54 m = 5670m2
Condition Describe the condition of the original site presently intact. Enter the year in parentheses. The description should be very brief. Example: Undisturbed; Disturbed; Fair; Good; Destroyed; Completely excavated
Disturbance Factors Enter the factor and/or agency affecting the condition of the site. Enter the date the disturbance factor was noted in parentheses. Example: natural erosion (1990); construction activity; pothunters; ploughed (1994)
Site Vegetation Enter common and scientific names of plants occurring on the site. List the plants from most abundant to least abundant.
Site Informant Name Enter the names and addresses of any persons having special knowledge about the site. Example: Jones, Tom, 449 Queen's Road, St. John's, NF
Principal Researcher(s) Enter the name of the principal investigators / permit holders who have been at the site and / or are responsible for the project under which the site is being investigated. Example: Smith, John
Research Date(s) Enter the date(s) at which activity occurred on the site. Enter dates in the following format: MMDDYYYY expressed as numerics only. Example: 07021996; 00001996
Research Activity(s) Enter the various types of activities that have taken place at the site. Example: recorded; surface collected; excavated; observed; tested; photographed; undetermined
Collection(s) Enter a description of the collections from the site. Example: one endblade and 3 flakes; none
Collection Repository(s) Enter the full name of the permanent repository(s) of the site collection(s). Example: Provincial Museum of Newfoundland and Labrador; Memorial University
Photo Records Enter reference numbers of images from the site, including photographs, videos, etc. Example: slides on file at PAO; photographs at MUN
Published References Enter published references to the site in proper anthropological format.
Unpublished References Enter unpublished references to the site in proper anthropological format.
Remarks Enter any additional information, recommendations, or comments concerning the site. Example: This site was originally tested by Schledermann in 1970 and assigned the wrong Borden Number (IdCq-4), and called "Big Island" only; Boulder pavement did not cover a burial and its function is unknown; Rectangular feature is 7m long and 4.5m wide; A sleeping platform is defined by a row of small stones running along the north end of the structure.
Site Record Form Completed by Enter the name of the individual who completed the site record form. If any additions are made to the form, add the name of the person(s) who added the information: person(s) who added the information: Example: Jones, Tom
Catalogue Date Enter the date that the site record form was filled out and/or when new information was added to the site. Enter dates in the following format: MMDDYYYY expressed as numerics only. Example: 07021996; 00001996
Sketch Map of Site Sketch a map of the site or attach a copy of a 1:50,000 topographical map indicating the location of the site.
