USER GUIDE FOR COMPLETING THE

ARCHAEOLOGICAL SPECIMEN RECORD FORM

Borden Number:

Enter the Borden Number of the artifact. Enter the full Borden Number in the following format ‑ upper case latitudinal axis/lower case sub‑division, upper case longitudinal axis/lower case sub‑division and the number of the site within the rectangle preceded by a dash. An entry is mandatory. Examples: IdCq‑04 or EeBi‑01

Catalogue Number:

Enter the individual catalogue number of the artifact. An entry is mandatory.  Examples: 27 or 2036a-j

Previous Number:

Enter any previous number(s) or code(s) that the item cited in the “Object” field may have carried. For NF Museum Use Only.

Permit Number:

Enter the collector's permit number.

Site Name:

Enter the preferred site name. Do not enter the word "site". Separate multiple entries with a semicolon. An entry is mandatory.  Examples:  Phillip's Garden or Eskimo Island 3

Culture:

Enter the name of the culture associated with the artifact. (Refer to Authority List).

Cultural Phase/Complex:

Enter the specific phase or complex to which the artifact relates. (Refer to Authority List).

Object:

Enter the name of the object. Classification terms and descriptive modifiers should not be included. If the artifact is only a portion of the original object, enter the name of the whole object. The name of the portion should be entered in the “Object Portion” field.  Examples:  nail or endblade

Material:

Enter the material(s) of which the item cited in the “Object” field is  composed. For composite artifacts enter the materials from the most to the least predominant. Enter the general term followed by a comma and the specific term, if known.  Examples: wood or chert or metal

Complete/Incomplete:

Check the appropriate box to describe the state of the item cited in the “Object” field. This field is not meant to replace the condition field. Separate multiple entries with a semicolon.

Portion:

Enter the name of the portion of the item cited in the “Object field”. Do not use this field if the item is whole. If the state of the object is "Incomplete", there must be an entry in this field. Separate multiple entries with a semicolon.  Examples: handle or rim or proximal

Quantity:

Enter the number of items cited in the “Object” field. Enter a whole number only. If the quantity is imprecise do not use this field, but place the data in the “Cataloguer Remarks” field.

Colour:

Enter the colour(s) represented in the item cited in the “Object” field. Enter colours from the most to the least predominant. Separate multiple entries with a semicolon. Examples: blue‑green; red; black

Manufacturing Technique:

Enter the processes, methods or techniques used to manufacture the item cited in the “Object” field. Enter the techniques from the most to the least predominant. Examples: carved or moulded   or pressure flaked or hard hammered

Associated Date:

Enter the date associated with the object cited in the “Object” field. An entry in this field is optional.  Examples: 3000 B.P. or 18th Century or 1920s or Victorian

Dating Technique

Enter the dating technique or process used to arrive at the associated date.  If the date is determined by physical attributes then describe these attributes. If there is no entry in “Associated Date” field then an entry in this field is not required. Examples:  Carbon 14 or Dendrochronology or Physical Attributes (style, decoration)

Description:

Enter the descriptive information about the item cited in the “Object” field that does not occur in any other field.

Length:

Enter the maximum length measurement in millimetres of the item cited in the “Object” field. Enter a single dimension measurement, expressed as a numeric only.

Width:

Enter the maximum width measurement in millimetres of the item cited in the “Object” field. Enter a single dimension measurement, expressed as a numeric only.

Height:

Enter the maximum height measurement in millimetres of the item cited in the “Object” field. Enter a single dimension measurement, expressed as a numeric only.

Thickness:

Enter the maximum thickness measurement in millimetres of the item cited in the “Object” field. Enter a single dimension   measurement, expressed as a numeric only.

Outside Diameter:

Enter the outside diameter measurement in millimetres of the item cited in the “Object” field. Enter a single dimension  measurement, expressed as a numeric only.

Inside Diameter:

Enter the inside diameter measurement in millimetres of the item cited in the “Object” field. Enter a single dimension measurement, expressed as a numeric only.

Bore Diameter:

Enter the diameter of the bore of the item cited in the “Object”  field. This field is used for the bore diameter of such things as a pipe stem or the  suspension hole of a pendant. Enter a single dimension,  expressed as a numeric only.

Weight:

Enter the overall weight in grams of the item cited in the “Object” field.  Enter a single weight, expressed as a numeric only.

Condition Description:

Enter an assessment of the overall condition of the item cited in the “Object” field, at the time of acquisition.  Examples: handle cracked  or abraded on edges corroded or crizzled or patinated

Collector/Excavator:

Enter the name(s) of the person(s) who collected or excavated the item cited in the “Object” field. This is the names of the crew members who actually collected and excavated the item (Not the Name of the Permit Holder). Enter names of individuals in the following format: surname, given name(s) or initial(s).  Examples: Renouf, M.A.P. or Cridland, Jennifer

Collection Date:

Enter the field collection date of the item cited in the “Object” field. Enter the date in the format: MMDDYY (04182001), expressed as numerics only. Incomplete dates must be zero‑filled (00002001). Where there is more than one date, enter in the order most recent to original. When a date is not known enter "unknown". Examples: 04182001 or 04182001? Or 00002001

Collection Method:

Enter the field collection method utilized in conjunction with the item cited in the “Object” field.  Examples: surface collected or excavated or test-pitted

Associated Features:

Enter all the excavation features in which the item cited in the “Object” field was associated. Separate multiple entries with a semicolon. Examples: tent ring or hearth or cache

Stratum/Event/Lot:

Enter the name or number designating the stratum, event and/or lot at which the item cited in the “Object” field was excavated.  Examples: A2  or C17 or 2

Grid Co-ordinates:

Enter the grid co-ordinates of the reference corner in relation to the main datum point or grid 0, 0 point. Example: N4W16

Collection Unit:

Enter the type of collection unit in which the item cited in the “Object Name” field was found and, if necessary, a specific numeric location term. Examples: Test pit 1 or Test trench or Area B or Square 23

North/South Measure:

Enter the measurement of the north/south distance from the east/west baseline to the location of the item cited in the “Object” field. The measurement is to be preceded by an “N” for North or an “S” for South.  Example: N4.20 or S23.18

East/West Measure:

Enter the measurement of the east/west distance from the north/south baseline to the location of the item cited in the “Object” field. The measurement is to be preceded by an “E” for East or a “W” for West.  Example: E20.98 or W123.49

 Depth Below Datum:

Enter the vertical distance of the item cited in the “Object” field above or below the datum point. If the measurement is above datum indicate the measurement with a “+” sign in front of number. Examples: 33.95 or +107

Depth Below Surface:

Enter the measurement of the depth below surface of the item cited in the “Object” field. This is the vertical distance between the ground surface and the depth of the item. Examples: 112.65 or 81.64

Cataloguer:

Enter the name(s) of the person(s) responsible for providing catalogue data on the item cited in the “Object” field. Enter the names of individuals in the following format: surname, given name(s) or initial(s). Separate multiple entries with a semicolon. Enter names chronologically in the order from original to most recent. Examples: Smith, Thomas; Jones, Alice

Catalogue Date:

Enter the date on which specimen record form was completed.  Enter dates in the format YYYYMMDD expressed as numerics only. Incomplete dates must be zero-filled. Where there is more than one date, enter in the order most recent to original, separated by a semicolon. Where a date is not known, enter “unknown” Examples: 19990515 or 19990515? or Unknown

Cataloguer Remarks:

Enter cataloguer's remarks pertinent to the item cited in the “Object” field. Enter data not already included in any other field.

Image Reference:

Enter the reference numbers and/or locations of the image cited in the “Object” field. Examples: Roll 23, photo 12 or Disk #1 or Dr. Peter Pope, MUN, slide # 3
